Job Title: Administrative Assistant
Organization:
 Jewish Community Relations Council of Minnesota and the Dakotas (JCRC) 
Location: Barry Family Campus – St. Louis Park, Minnesota
Schedule: Preferred hours are Monday–Friday, 10:00 AM–2:00 PM (approximately 20 hours per week). This is an in-person position.

Position Summary 

The Jewish Community Relations Council of Minnesota and the Dakotas (JCRC) is seeking a highly organized, dependable, and customer-focused Office Administrative Assistant to provide administrative and operational support to our 13-person staff. 

This position serves as the first point of contact for visitors, callers, and general inquiries while providing administrative assistance across the organization. The ideal candidate enjoys working in a collaborative environment, takes initiative, is responsive to changing priorities, and is committed to providing exceptional customer service. This position works closely with the Executive Director and supports all members of the JCRC team. 

Essential Responsibilities 

Office Administration 

  • Welcome and assist visitors, guests, donors, volunteers, and vendors at the reception desk. 
  • Answer and direct incoming telephone calls in a professional and courteous manner. 
  • Monitor and respond to general organizational email inboxes or route inquiries to the appropriate staff member. 
  • Provide administrative support to the Executive Director and other staff as needed. 
  • Manage incoming and outgoing mail, packages, and deliveries. 
  • Print, copy, scan, assemble, and distribute documents and materials. 
  • Maintain office files and assist with document organization. 
  • Order and maintain office and kitchen supplies, ensuring the staff kitchen remains stocked and organized. 
  • Coordinate with vendors for routine office needs. 

Administrative Support 

  • Enter and maintain information in Salesforce and other organizational databases. 
  • Assist with data entry, record maintenance, and quality control. 
  • Prepare reports, spreadsheets, mailing lists, and other administrative documents. 
  • Assist with proofreading, formatting, and preparing correspondence. 
  • Support meeting preparation, including assembling materials and room setup. 

Event & Program Support 

  • Assist with planning and logistical support for annual events, meetings, and community programs. 
  • Help prepare event materials, registration packets, signage, and name badges. 
  • Pick up food orders and supplies for meetings and events. 
  • Assist with event setup, registration, and breakdown as needed. 
  • Provide on-site administrative support during JCRC events, as requested. 

General Office Support 

  • Assist staff members with day-to-day administrative needs. 
  • Perform miscellaneous office duties and special projects as assigned. 
  • Help maintain a professional, organized, and welcoming office environment. 
  • Demonstrate flexibility by assisting wherever needed to support the organization’s mission. 

Qualifications 

Required 

  • Excellent organizational skills and attention to detail. 
  • Strong verbal and written communication skills. 
  • Friendly, professional, and customer-service-oriented demeanor. 
  • Ability to manage multiple tasks and priorities with minimal supervision. 
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint). 
  • Comfortable learning new software and technology. 
  • Valid driver’s license, reliable personal vehicle, and ability to use a personal vehicle for occasional local errands, including picking up food orders and event supplies. 
  • Ability to lift and carry up to 25 pounds occasionally for office and event support. 

Preferred 

  • Experience using Salesforce or another customer relationship management (CRM) system. 
  • Previous experience as an administrative assistant, receptionist, or office support professional. 
  • Experience working in a nonprofit or mission-driven organization.

Compensation 

Starting at $20.00 per hour. Compensation is negotiable based on relevant experience, qualifications, and demonstrated skills.
